IT Logistics Specialist

RESPONSIBILITIES

Procurement and vendor coordination

Raise and track purchase orders for laptops, peripherals, networking gear and accessories with approved local and international vendors.

Compare quotes, confirm delivery dates and escalate delays or pricing issues.

Maintain vendor contacts, warranty terms and return/RMA processes.

Inbound shipping and customs

Coordinate international shipments with freight forwarders and couriers.

Track shipments end to end and report expected arrival dates to IT and requesters.

Log deliveries against the order; report damage or shortages within the vendor's claim window.

Inventory and asset management

Keep the asset register accurate: serial numbers, assignee, location, status and warranty dates.

Run regular stock counts and reconcile them with the register; investigate discrepancies.

Maintain safe, organized storage for hardware, with minimum stock levels for common items.

Deployment and lifecycle logistics

Manage handover and return of equipment for joiners, leavers and role changes.

Coordinate secure disposal, recycling or donation of retired equipment, including data-wiping confirmation from IT.

Reporting and process improvement

Report monthly on stock levels, open orders, delivery times and logistics costs.

Participate in improvements projects that reduce lead times, cost or loss.

REQUIREMENTS

Required

2+ years in IT logistics, supply chain, procurement or IT asset management.

Working knowledge of import procedures and customs documentation.

Experience maintaining an inventory or asset register (spreadsheet, ITAM or ERP tool).

Professional English, written and spoken.

Preferred

Bachelor's degree in logistics, supply chain, IT, business or a related field.

Familiarity with IT hardware (laptops, mobile devices, networking equipment) and common vendor ecosystems.

Experience with an ITSM or ticketing system such as Jira Service Management.

Working Russian.

Certification such as ITIL Foundation, CSCP or CPIM.

Skills and competencies

Organization: keeps many open orders and shipments straight and prioritizes by urgency.

Attention to detail: records serial numbers, quantities and dates accurately every time.

Vendor management: negotiates delivery terms and follows up until issues are closed.

Communication: gives requesters clear status updates and writes concise reports.

Problem solving: resolves customs holds, damaged goods and stock shortages without waiting to be told.

Integrity: handles high-value equipment and asset records with care and honesty.

Tools: strong Excel or Google Sheets; comfortable learning ITAM, ERP and ticketing systems
